Overview

We’re looking for a highly organised and proactive Personal Assistant to support key members of our European Leadership Team. This is a pivotal role with real opportunity to make a meaningful impact across the business, enabling our Exec team to operate at their best as they lead and grow our European presence. It’s a fast-paced, varied position that calls for initiative, adaptability, and a high level of energy and professionalism.

Responsibilities

  • Diary management – Coordinating diaries for your Executives, working across timezones and managing changes and clashes efficiently and quickly.  

  • Organising internal & external meetings and events - Whether it's an internal 1:1, team lunch or meetings with clients and stakeholders. This can include everything from meeting room set-up, organising catering and greeting visitors to the office, venue sourcing and planning for external events, as well as assisting with presentations and preparing documentation for meetings or key events. 

  • Travel booking – Travel coordination, both international and domestic, for your Executives and across the wider business. Booking flights, accommodation and train travel while ensuring Assembly is abiding by its sustainable travel policy. Assisting with travel requirements including ESTA & visa applications.  

  • Additional admin support/ad-hoc tasks – Effectively handling and prioritising all day-to-day ad-hoc tasks that arise for your executives and on occasion for the wider Leadership team 

  • Processing expenses using our online system 

Required Skills

  • Organisation and attention to detail is key! Due to the varied nature of the role you may well be working on multiple tasks at the same time, so we need a great multi-tasker and somebody that can prioritise their time effectively, while not compromising on your standard of work 

  • Friendly, outgoing and approachable with a can-do attitude! We want to you to love what you do and have a real passion for helping people and solving problems. This is very much a role you can make your own and there’s lots for you to get involved in! The more curious you are the better! 

  • Great communication and interpersonal skills are so important! We need a real people-person who is strong at building and maintaining relationships - liaising with the Senior Leadership team as well as clients and external stakeholders – and being confident in doing so. 

  • We’re a culture of builders and forging a strong office culture and community is so important to us! We’re looking for someone who can really get involved and help us drive this approach moving forwards, whether that’s getting stuck in with organising social events or joining our DE&I group - Together+. We can’t wait to hear your ideas! 

  • We’d love you to have 2-3 years of experience in a similar fast-paced role, ideally having supported Executives at C-Suite level
